Terms and Condition

By submitting this Event Request Form, the requester agrees to the following terms and conditions. The Corporate Communications/Event Management Department reserves the right to evaluate and approve event requests based on these conditions:

1. • Event request forms must be submitted at least 1 month working days prior to the proposed event date. Late submissions may not be considered.
   • All sections of the form must be completed with accurate and detailed information. Incomplete forms may result in delays or rejection of the request.
   • The proposed event must align with the organization’s mission, objectives, and branding guidelines. Events conflicting with organizational values will not be approved.
   • Approval is subject to the availability of resources, including venues, equipment, personnel, and budget. The requester must be flexible to adjust event plans if necessary.
   • Invitations to VIPs or high-ranking officials must be pre-approved by the organization’s leadership. Unapproved VIP invitations may lead to event cancellation.
   • All promotional content, including social media posts, press releases, and LED displays, must be reviewed and approved by the Corporate Communications Department before publication.
   • Any costs associated with the event, including catering, gifts, and promotional materials, must be clearly identified and approved in advance. Additional costs incurred outside of the approved budget will be the requester’s responsibility.
   • The event must comply with all organizational policies, including health and safety regulations, data protection laws, and ethical standards.
   • The organization reserves the right to cancel or modify the event due to unforeseen circumstances, including resource constraints, changes in organizational priorities, or emergencies.
   • The requester is welcomed to provide feedback or suggestions following the event to assist in evaluating its success and guiding future planning.
   • The requesting department will be held responsible for any damages caused to organizational property or equipment during the event.
   • Failure to adhere to the approved plan, timelines, or terms and conditions may result in the suspension of event privileges for future requests.
   • The organization will not be liable for delays or cancellations caused by factors beyond its control, including but not limited to natural disasters, strikes, or pandemics.
   • Approval of this form does not guarantee the execution of the event as requested. The Corporate Communications Department reserves the right to suggest changes to the event plan.
   • The requester must ensure that the event adheres to all relevant laws and ethical practices. Any violations may lead to event cancellation and further action.
